Answers to the most common questions about using Varai Sprints.


General

What is Varai Sprints?

Varai Sprints is a unified sprint and release planning tool for software teams. It combines internal task management with bug tracking, giving your team a single place to plan releases, run sprints, track progress, and manage quality — all connected.


Do I need a separate account for each workspace?

No. One account gives you access to all workspaces you have been invited to. You can switch between workspaces using the workspace selector in the top-left of the navigation bar.


Can I be a member of multiple workspaces?

Yes. You can be a member of as many workspaces as you need, and you can have different roles in each one (e.g., Admin in one, Member in another).


Is there a limit to how many team members I can invite?

Member limits depend on your organization's plan. Check with your workspace admin or the plan details in SettingsOrganization SettingsBilling.


Releases and Sprints

Does a sprint have to belong to a release?

Yes. Every sprint in Varai Sprints must be created within a release. This is by design — it ensures all sprint work is connected to a delivery goal. If you do not have a formal release yet, create a placeholder release (e.g., "Ongoing Work" or "Backlog Sprint") to house your sprints.


Can I have multiple active sprints in a release at the same time?

No. A release can have only one Active sprint at a time. This encourages focused delivery. You can have multiple sprints in Planning or Completed status within the same release simultaneously.


What happens to unfinished tasks when I complete a sprint?

When you complete a sprint, Varai Sprints prompts you to choose what to do with any open (non-Done) items:

  • Move to another sprint — carry them forward
  • Move to backlog — return them to the unplanned backlog
  • Leave in place — they stay in the completed sprint (visible in reports as incomplete)

Can I reopen a completed sprint?

No. Once a sprint is completed it is locked for reporting purposes. If you need to continue work, create a new sprint. Open items can be moved to the new sprint when completing the old one.


Tasks and Issues

What is the difference between a task and an issue?

  • A task is internal work you create in Varai Sprints — features, improvements, research, or any to-do.
  • An issue is a bug or defect that needs investigation and fixing.

Both appear together on the Kanban board and Gantt chart, and both can be planned into sprints. The key difference is that issues have a severity field (how bad is the bug?), while tasks have a type field (what kind of work is it?).


Can I assign a task to multiple people?

Yes. Varai Sprints supports multi-assignee tasks. All assignees receive notifications for the task. On the Kanban board, multiple assignee avatars appear on the card.


Can I move a task to a different sprint?

Yes. Open the task, click the Sprint field, and select a new sprint. You can move tasks between any sprints in Planning or Active status. Moving a task does not affect its status, history, or time logs.


What is the maximum nesting depth for subtasks?

One level. You can create subtasks under a task, but you cannot create subtasks under a subtask (no sub-subtasks). If you need deeper nesting, consider restructuring as separate tasks linked to an epic.


Time Tracking

Can I log time on behalf of someone else?

Workspace Admins can create and edit time log entries for any team member. Regular Members can only log time for themselves.


What happens if I forget to stop the timer?

Varai Sprints sends you an in-app reminder when your timer has been running for more than 4 hours. If you miss this and stop the timer much later, you can edit the time entry to correct the duration. Open the task → Time Logs tab → Edit the entry.


Can I use the timer while offline?

No. The timer requires an active connection to record your session. If you work offline, use manual time entry to log the time after reconnecting.


Notifications

I am getting too many email notifications. How do I reduce them?

Go to SettingsProfileNotifications and turn off high-volume events such as:

  • "Comment on a task you are assigned to" — this fires for every comment on every task you are on
  • "Task status changed" — this fires whenever any status changes on your assigned tasks

Start with these two and see if the volume drops to a manageable level.


Can I mute notifications for a specific task?

Yes. Open the task → click Actions (three dots) → Mute notifications. You will stop receiving notifications for that specific item.


Security and Settings

I lost my API key. Can I retrieve it?

No. API key values are only shown once, at the time of creation. If you have lost a key, revoke it immediately and create a new one. See API keys.


How long are audit logs retained?

Audit logs are stored for 2 years. After that they are automatically purged. For longer retention, export audit logs regularly and store them in your own systems.


Can I undo a deletion?

Permanent deletions cannot be undone. For tasks and issues, we recommend using Cancelled status instead of deleting — this preserves all history while removing the item from active views.

Workspace deletions are permanent and cannot be recovered by anyone, including support.
