Managing Workspace Members
This page covers everything you need to know about adding, removing, and managing the roles of people in your workspace.
Viewing current members
- Open your workspace.
- Click Team in the left sidebar.
You will see a table listing every member of the workspace with their name, email, role, and the date they joined.
Inviting new members
- Click Team in the left sidebar.
- Click Invite Members.
- Add one or more email addresses to the Email Addresses field. Each email becomes a removable chip:
- Type an email and press Enter, Tab, or , to add it as a chip.
- Paste a comma- or newline-separated list to add several chips at once.
- Click the × on any chip to remove it. Press Backspace in an empty field to remove the most recent chip.
- Invalid addresses are shown in red — fix or remove them before sending.
- Choose the role to apply to everyone in this batch:
- Admin — Full management access
- Member — Can create and edit work items
- Viewer — Read-only access
- Click Send Invitation (the label changes to Send N Invitations when you have added more than one chip).
Each invitee receives an email with a secure link. The invitation expires after 7 days. If they have not accepted by then, you can resend it.
No problem — they will be prompted to create a Varai Sprints account when they click the invitation link.
Resending or cancelling an invitation
If someone has not accepted their invitation yet, their status shows as Pending.
- To resend the invitation: click the ... menu next to their name and select Resend Invitation.
- To cancel the invitation: click the ... menu and select Cancel Invitation.
Changing a member's role
- Go to Team.
- Click the current role badge next to the member's name (e.g., "Member").
- Choose the new role from the dropdown.
The change takes effect immediately.
Only workspace Admins can change roles.
Removing a member
- Go to Team.
- Click the ... menu next to the member's name.
- Select Remove from workspace.
- Confirm the action.
What happens to their work? Removing a member does not delete any of their contributions. Tasks they created, comments they wrote, and time logs they submitted all remain in the workspace. Their name still appears on those items as the original creator or assignee. You can reassign their open tasks to another team member after removing them.
